A practical guide for small service businesses

Inquiry follow-up examples

A new inquiry, a quiet conversation, or a quote waiting for a reply can each call for a different note. Use these as starting points, then make the details and wording your own.

Replace the bracketed prompts with details you know, and offer only a next step you can genuinely provide.

01 / A new inquiry arrives

Replying to a new inquiry

Example message

Hi [Name], thanks for reaching out about [service or project]. I saw you mentioned [one detail they shared]. I’d be happy to talk through next steps. Would [a call, visit, or other next step] be useful?

[Your name]

Make it yours: Mention one detail from their request and offer a next step that fits how you work.

02 / You have not heard back

Following up on an unanswered inquiry

Example message

Hi [Name], I wanted to check back on your note about [service or project]. No pressure if plans have changed. If you’re still considering it, I’m happy to [offer a useful next step].

[Your name]

Make it yours: Keep the tone easy to answer, and choose a follow-up interval that feels considerate for the conversation.

03 / A quote is waiting

Checking in after sending a quote

Example message

Hi [Name], I’m checking in on the quote I sent for [project] on [date]. Is there anything you’d like me to clarify about the scope or timing? I’m happy to talk it through whenever it’s useful.

[Your name]

Make it yours: Refer to the work and quote they received. Mention deadlines or availability only when you know they apply.

These are prompts, not scripts. Keep what sounds natural, adjust anything that does not fit the situation, and leave out details you cannot confirm.
